300% increase in annual event attendance

Thanks to a comprehensive outreach program, fraternal organization re-engages alumni membership after years of dormancy


After their undergraduate chapter went inactive ten years ago, this group’s leaders needed to reconnect with alumni and revive the spirit of the brotherhood. Led by alumni volunteer Timothy Wilkinson, the alumni interest group sought to bring their brothers together through their 2nd Annual Reunion. While their first annual reunion was enjoyable, it did not gain the attendance they had hoped. This time, Tim tasked us with engaging their members to attract more alumni involvement.

Not only were we able to re-engage with their brothers and donor base, but Tim and other leaders laid the groundwork for a spectacular annual reunion to look forward to each year that will keep connections strong and their traditions alive.

The Results Speak For Themselves
Through our experience helping fraternities and alumni associations with managing complex fundraising events, our team was able to cultivate involvement for eight different events simultaneously and reconnect alumni with their long-lost brothers.

The Big Wins:

  • Increase in football ticket sales from 28 tickets sold last year to 140 tickets.

  • Sold out 60 reserved hotel rooms

  • 90 members registered to attend both the alumni reception and formal dinner

  • 171 attendees to the tailgate

  • 120 attendees registered for a bus shuttle to and from the hotel

How We Did It
Consistent and meaningful email communications helped us reach alumni members with updates, registrations, and payments. We kept an active, public list of all attendees to monitor goals, metrics, and progress to ensure we stayed on track for a successful event.

Streamlined payment processing allowed for a hands-free approach from fraternity leaders as we handled the collection of all fees and disbursed them directly to their bank account. We supplied daily reporting and communication with alumni volunteers to allow PA Theta leaders to keep track of attendance for their own event planning purposes.

In three months, we connected with 171 alumni members, family, and friends to complete registrations and payment processing with a 300% increase from last year’s involvement.

What We Did:

  • Set up registration and/or payment processing for eight events

  • Managed logistics for a tailgate, golf outing, formal dinner, alumni/education foundation meeting, bus shuttles, football game, alumni reception, and hotel reservations

  • Daily communications with client on progress and reporting

  • Increased football ticket sales from 28 tickets sold last year to 140 tickets

  • Strategic communications for maximum outreach

  • Tripled the attendance of their annual reunion from last year
